Buyer's guide

How to choose a medical billing service provider

As a billing company ourselves, we see every day what separates a good partnership from a costly one. Use these five checks - and the questions under each - when you compare billing companies, including us.

1

Experience in your specialty

Every specialty has its own codes, modifiers and payer rules. Ask which practices like yours the company already serves, whether its coders are certified (for example by the AAPC), and how they keep up with yearly code and payer changes.

Questions to ask:

  • Do you work with practices in my specialty today?
  • Are your coders certified?
  • Who will actually work on my claims?
2

Clear pricing and a fair contract

Know exactly what you will pay and for what. Ask whether the fee is a percentage of collections or a flat amount, what is included, whether there are setup or hidden fees, how long the contract runs and how you can leave.

Questions to ask:

  • Is the fee based on what you collect, or on what you bill?
  • Are credentialing, patient statements and reports included?
  • What is the notice period, and who owns my data if I leave?
3

Reporting you can understand

A good billing partner shows you the numbers every month: collections, days in accounts receivable, denial rate, clean-claim rate and what is being done about problems. You should never have to ask where your money is.

Questions to ask:

  • Which reports will I get, and how often?
  • Can I see my AR and denials at any time?
  • How do you follow up on unpaid and denied claims?
4

HIPAA compliance and data security

Your billing company handles protected health information. It must sign a Business Associate Agreement (BAA) and explain how it protects your data: access controls, secure systems, staff training and what happens if something goes wrong.

Questions to ask:

  • Will you sign a BAA?
  • How is my patients' data protected?
  • Is your team trained on HIPAA every year?
5

A dedicated team and a smooth start

Switching billing companies should not interrupt your cash flow. Look for a named account manager, a clear onboarding plan, work inside the software you already use, and help with credentialing and old unpaid claims.

Questions to ask:

  • Will I have one point of contact?
  • Can you work in my current EHR / practice management system?
  • How do you handle claims that are already outstanding?

Pricing questions

How much does medical billing cost?

Our medical billing fee is 3.99% of the insurance payments we collect for you. There is no setup fee and no minimum monthly fee. If you prefer, we can agree a flat monthly fee instead, based on your practice volume.

What is included in the fee?

Eligibility checks, coding review, claim submission, payment posting, denial management and appeals, AR follow-up, patient statements and monthly reports. Credentialing and payer enrollment are free for the first two months when we handle your billing.

Why a percentage of collections?

Because we only earn when you get paid. It keeps our team focused on collecting every dollar you are owed, not just on sending claims.

Can I pay a flat monthly fee instead?

Yes. Some practices prefer a predictable monthly cost. We agree a flat fee with you based on your claim volume and revenue. It is negotiable and confirmed in writing before we start.

Is there a long contract?

We keep agreements simple and fair, with a clear notice period. Your data always belongs to you.

How do I get started?

Fill in our short onboarding form. We will review your practice, confirm your pricing in writing and handle the rest, including credentialing and connecting to your software.
